Creating Calendars and Calendar Groups
There are a few different ways to utilize the calendar settings, including individual calendars and group calendars. Check out the videos below for more details on getting these set up.
CREATING A BASIC CALENDAR
Step by Step instructions:
Make sure you are in the Admin panel.
- To do this, click on the drop-down arrow to the right of your username.
- Select Admin
From the side menu
- Select Calendars
- To Add a New Calendar, click Add Calendar.
- Select the Calendar type
- Select Time Slot from the drop-down menu.
- Type the name of the Calendar.
- You can now edit the Short Name, the Customer Display Name and enter a Description. Description is optional.
- Click on Continue.
This has created the calendar for you.
To Add available appointments
- Click on the day you wish to add. Select the Start and End times.
- Type the number of appointments you want to take during that time slot.
- Select Save.
The time slot you just created will show on the calendar. You can now create each day of the week.
If you want the same schedule on multiple days of the week
- Select the copy button on the desired day.
- Select the paste clipboard on the day you wish the schedule to be pasted to.
The time slots are fully customizable, simply copy and paste the same schedule across the week and edit them as you go or add time slots to each day.
To edit a time slot on the calendar
- Select the pencil icon and click on the block and edit as you see fit.
- Select Save.
To override any dates to block off individual timeslots or the whole day (ex: blocking off Holidays).
- From Admin
- Click on the Calendar NAME
- Click on Overrides
- Click on ADD override
- Select the date
- Then select your appointment time or select all of the times
- Then Delete
CALENDAR GROUPS
As an Admin User, you can create Calendars and Group them together. Individual Calendars can be customized to each estimator you have and then grouped together under one Calendar (group).
You can also create other calendars for additional services you may provide, such as Towing, etc.
Step by Step instructions:
Calendar Groups
- Under Calendars on the Side Menu, select Calendar Group
- Click on Add Calendar Group
3. Add a Landing Page Title that will be seen when sent to your customer to schedule.
4. Select the Drop-down box to choose the calendar(s) to be added to the group.
5. Add a description
6. Add a Short name
7. Select Add
All your Calendar Groups will now show on the main page.
To edit Calendars or Calendar Groups
Click on the name of the calendar or group and select the pencil icon to make any edits, and SAVE.
To edit the appointments (time slots)
Once in the edit section of the calendar, select Configure Pattern template. This will open up the calendar page and allow changes to the time slots. Make the necessary changes and SAVE.
To disable a calendar
- Click on the pencil icon for the calendar name
- Click on the disable button on the top right of the screen
Any disabled calendars will be placed under the Disabled tab of the Calendar page.
You can create as many calendars as you need. For example, you may have multiple estimators with differing schedules or calendars for other departments, such as detailing or towing
To share your calendar/calendar groups
1. From within the calendar or calendar groups, Select the Share icon on the far right of the name.
2. This will open a page where you can copy the QR code or a link to send to customers or post on your social media. Both of these will lead the customer through the steps to schedule an appointment.
Here is a walk through for creating calendars
1. To Start, make sure you are in the Admin Area. Click on the drop-down arrow to the right of your username.
2. Select Admin.
3. Click on the down arrow next your calendar icon.
4. Select Calendars
5. To Add a New calendar, click Add Calendar.
6. Select the Calendar type - Time Slot.
7. Type the name of the Calendar.
8. You can edit the Short Name, the Customer Display Name and enter a description.
9. Click on Continue.
10. To Add available appointments click on the day you wish to add. Select the Start and End times, then type the amount of appointments you want to take during that time slot. Hit Save.
11. The time slot you just created will show on the calendar. To create additional times on that day, click the day again, and add more.
12. If you want the same schedule on multiple days of the week, hit the copy button on the desired day.
13. To paste that schedule to another day, hit the paste clipboard on the day you wish the schedule to be pasted. The time slots are fully customizable, simply copy and paste the same schedule across the week and edit as you go, or add time slots to each day.
14. To edit a time slot on the calendar, just click on the block and edit as you see fit.
15. Once you are happy with the time slots across your calendar, make sure to hit SAVE, otherwise it will not be saved.
16. You will be taken to all the calendars you have created.
Multiple calendars can be created, for example, you may have multiple estimators with differing schedules. In this case the multiple calendars could be individual estimator's availabilities. You could also create additional calendars for Towing, or anything else you schedule.
17. If you click on a specific calendar, it will open the month view.
18. To go back to all calendars, click on Calendars.
19. Once you have multiple calendars, you can use the Search function to find the one you need.
20. To go to Calendar Groups, click on the down arrow next to the Calendar icon again.
21. Select Calendar Groups
22. This is where you can group calendars together. To group, click on Add Calendar Group.
23. Type the name that will appear when sent to your customer to schedule. Select all the calendars to add. Add a description, Short name, then click Add.
For example, you can make a group of all your estimators calendars.
